Terms and Conditions
Payments
Clients / Customers are deemed to accept the following terms by the placing an order with Protection 1 on the principle that all
services are due and payable either in advance or at outset of journey or on completion of journey. Payments due in UK Sterling.
Private Hire Charges
All private hire will be priced at the time of booking based on date, time, distance and type of booking
Prices can be set at an agreed fixed price at the time of booking but extras will still apply in all cases.
Extras on Quoted Prices Include
All toll charges, parking fees, driver's subsistence and accommodation.
Overnight Stay/Subsistence of £30.00 plus Bed and Breakfast at cost (at nearest Premier Lodge or similar, approx £50.00).
Motorcar Valet: £85.00 (following spillages or debris left by client).
Wedding/Special Event Booking Deposit
To guarantee wedding and special events booking, we reserve the right to obtain a 25% non-refundable deposit. Deposit monies
to be sent with booking form within 7 days to secure booking.
For Weddings - further monthly payments are acceptable to assist with your budget prior to the wedding date which will be
refunded if cancelled.
General Booking Deposits
Deposit of 25% (minimum £30.00) is required to confirm and validate all bookings. Balance payable on all bookings 14 days in
advance.
Payments
Those booked on the day or within 21 days in advance are payable before the start of the service in cash to the driver (any extras,
if necessary, payable at the end of the service). Any gratuities are at customer’s discretion. Pre- payments accepted by cash or
cheque supported by a valid bankers card, all cheques payable to G Hughes. If receipt is required please advice in advance.
Account facilities can be arranged, please call to discuss.
Cancellation Policy
Should you wish to cancel your booking the following charges apply:-
Cancellation over 72 hours - No charge
Cancellation between 24 - 72 hours – 50% of original quote
Cancellation 0 – 24 hours - No refund, full payment required
Weddings/Special Events – cancellation notice period is two weeks (any deposit paid is non-refundable)
Cancellation notice period for longer distance journeys (over 40 miles) is 72 hours
Additional Charges (on total cost)
The following charges may apply for jobs between:
23:00-06:00 +5% Xmas/New Year + 100% Bank holidays – week notice or otherwise +10%
All car park charges, toll charges, congestion charges, drivers subsistence and accommodation; motor vehicle valet (following
spillages or debris left by client).
Further charges for Private Hire – Driving Your Vehicle (details provided on request)
All Pickups
In the unlikely event that you can not find the driver, you must call immediately the mobile provided or 07989 709 830 and wait
for our advice - no refund will be given unless we have confirmed that the vehicle booked, or an alternative one is unavailable.
Alteration
Minor itinerary adjustments are free of charge. Protection 1 at its own discretion will determine the nature of any adjustments
and alter the charges accordingly.
Waiting Time
The first 30 minutes of waiting time are not included in the charges and will be treated as a “grace” period.. Thereafter waiting
time is charged by £30 per hour or part thereof (except airport transfers).
Hire Price
Protection 1 guarantee the cost of vehicle hire providing that the original itinerary at the time of booking has not been altered.
Obligations to you
Protection 1 will supply all the services specified in the Confirmation of Booking sent to you and will take responsibility for
actions while on duty.
Protection 1 Do Not Accept Responsibility for:-
• Delays caused by adverse weather conditions, traffic delays and vehicle breakdowns
• Any theft or damage to properties of the signatory of the contract or any other person traveling within the contract,
except where such theft or damage is caused by a direct action of the driver.
• Any delays caused by strike action, congestion delays, traffic jams, road closures, road traffic accidents, acts of theft,
riots, marches, protects, fire, terrorists etc. break downs, punctures, lack of fuel, illness. Inclement weather, snow, ice,
fog, flood, storm, plane, boat, ship, train or other transport delays or for any other reason beyond our control, Acts of god
or Force Majeure.
Insurance
The vehicle is insured for passenger travel for up to four passengers. This insurance is for public liability and does not constitute
a travel or baggage insurance.
For private hire chauffer (driving your vehicle), client is responsible to provide fully comprehensive insurance and to provide
written proof to the chauffeur.
Disorderly Behaviour
Rights reserved to refuse travel to anyone deemed to be a nuisance or danger to our passengers or employees. We may seek the
help of the police to remove any offenders from our vehicles and will not pay compensation or refund in such circumstances.
Illegal Material
The carrying or use of unregistered weapons, or any illegal drugs in our cars is totally forbidden. You must inform, in writing,
about any registered weapon you wish to carry with you at the time of booking.
Pets
Guide dogs are allowed, but you must confirm this at the time of booking.
Music
Playing musical instruments in the car is at the driver's discretion - you must seek permission prior to commencing the journey.
Smoking
Smoking is prohibited in ALL private hire vehicles! No variations to this order can be made.
Seat Belts
Are compulsory and must be worn at all times.
Use of Vehicles
Protection 1 reserve the right to substitute a vehicle at any time should the need arise by circumstances beyond control. The
substituted vehicle must be whatever is closest and available at short notice. Protection 1 reserve the right to provide a similar
alternative vehicle should the vehicle not be available - this hire shall be known as sub-contract or sub-hire.
Complaints
If for some reason you are unhappy with the service, you should, in the first instance, relay your concerns immediately to the
driver, who will try to rectify the issue on the spot.
If the matter has not been resolved to your satisfaction, please write to us at: 48 Bexley Street, Windsor, SL4 5BP providing the
date and time of the incident and our Booking Reference Number – We hope to resolve all issues amicably.
Any breach of the above Terms and Conditions could result in termination of your hire agreement
- we will not refund your costs or pay compensation in such event.
